Business Support Specialist | Part-Time

The Part-Time Business Support Specialist provides essential administrative, office coordination, and organizational support to ensure smooth day-to-day operations. This role supports the President of Power, internal teams, client-facing activities, and billing processes while helping maintain an organized, welcoming, and efficient office environment.

Core responsibilities

Administrative & Office Support
• Order, organize, and maintain office supplies and shared resources.
• Serve as the primary point of contact for office maintenance, vendors, building management, and deliveries.
• Coordinate client and internal gifting, including sourcing, ordering, and shipping.
• Maintain technology inventory and support basic equipment coordination (laptops, accessories, peripherals).
• Ensure common areas are organized, stocked, and client-ready.
• Support employee onboarding and offboarding logistics, including access, equipment, and documentation.
• Maintain internal documents, trackers, and shared files across platforms.
• Pick up, sort, and distribute mail on a weekly basis.
• Assist with scheduling internal meetings, team events, and off-sites as needed.
• Manage the birthday calendar and coordinate team celebrations and internal moments.
• Support misc. office needs and projects

Client & Account Support
• Coordinate sponsorship items, swag, and presentation materials for client meetings and events.
• Proofread presentations, decks, and client-facing materials for accuracy and formatting.
• Coordinate meeting logistics, including scheduling, calendars, agendas, and conference details.
• Draft and send routine client communications as directed by account teams.
• Track client payments and related information in Airtable.
• Support ACH setup and transition processes with clients.
• Assist account teams with general administrative needs related to client work.
• Support special client projects, as needed.

Billing & Financial Support
• Proof budgets, billing packets, and invoices for accuracy and completeness.
• Collect and organize client statements and billing documentation.
• Support month-end and ad hoc billing processes as needed.
• Liaise with internal teams to ensure billing information is up to date and properly tracked, as needed.

Qualifications
• 3+ years of administrative experience.
• Strong organization and communication skills.
• Proficiency in Google Workspace and Microsoft Office.

Physical Requirements
• Prolonged periods sitting at a desk and working on a computer.
• Ability to communicate orally. Hearing and vision within normal ranges with or without an assisted hearing device.
• Occasional exertion of up to 25 lbs. of force may be required.
